As parents ourselves, the team at Bee Spotted, know how difficult the last year and a half has been for pupils and teachers alike and additionally, the detrimental impact that repeated lockdowns and school closures have had on fundraising activities that form part of the normal school year. We hope that these crazy times are now fully behind us and that we can all start to focus on a more positive and normal academic year ahead and with that we want to offer you a great, cost-effective fundraising idea.
Who are we?
We are a small but friendly marketing agency, based in Basildon in central Essex. We help local businesses be more visible by creating high-ranking websites and great eye-catching marketing materials. As we like to say, ‘’Stand out from the crowd and Bee Spotted!’’
What are we offering?
Last year we extended one of our popular corporate items to include a school option which offered excellent fundraising potential. Schools had the opportunity to create a bespoke, page a month, A3 or A4 photo calendar incorporating images and specific information about their school.
Personalisation included:
- Term dates
- Special days of interest such as World Book Day
- National Holidays
- Other dates specific to each individual school, exams, sports day, inset days etc
- 12 images of your choice of the school one per page.
School pets have previously been very popular!
- Additional revenue opportunity provided by an advertising section for local businesses
How will this benefit your school?
The calendars proved to be a popular Christmas present and are also a useful way for parents to manage their year. In line with many of the national chains that sell similar more generic products, the suggested selling price is £10.00 for the A3 calendar. The cost price varies but a minimum of a £3.50 profit can be made per calendar – often more.

Frequently Asked Questions
How can we increase our revenue by selling these calendars?
Increased revenue can be achieved by offering local businesses the opportunity to place an advert for a set fee to incorporate their logo, contact details and a maximum 12-word description (if required) either for one month or a full year. Whilst highly beneficial, it can take a while to gather this information, so if you plan to include advertising, we advise prioritising this process to ensure it does not cause any delays. Deciding what and how to charge for this will need to be very clear. Ideally, we advise 12 advertisers each taking a 1-year option so their logo will be displayed every month, but you can decide what works best for your particular school.
All logos must be sent in PDF or JPEG format plus any text would need to be supplied by the school at the time of ordering
How many images are needed and in what format?
These can be easily sent to us by using the link on the online order form.
We prefer all 12 images to be high resolution in PDF or JPEG format.
Smart phone images are acceptable but can only be used at actual size as resizing reduces the quality. We are also able to supply royalty free images if required. You can also add a short caption to each image.

Please note: Bee Spotted are not responsible for confirming sign off for image release forms of any photos that include pupils. This is solely the school’s responsibility. Any additional reprinting required as a result will be at the school’s expense. We also advise against including images of teaching staff as they can move on during the year making the calendar seem outdated.
What are the dimensions and finishes of the calendars?
A3 size 297 x 420mm
A4 size 210 x 297mm
Wiro-bound at the top and includes a hanger and plain white envelope.
Printed on 150gsm gloss paper with a 350gsm back card printed with a full 12month calendar.
Month per page printed with your own personalised photo and caption.
Total of 12 photos and captions.
Front cover with title, logo and image of choice.

What quantities are available?
50, 100, 200, 300 (bespoke quantities available on request, please contact us)
When are the order deadlines and what are the turnaround times?
This is dependent on term dates, but we require all artwork signed off no later than two weeks prior to end of the school term. Turnaround can be as quick as 48-72 hours from receipt of all images and information, but please check with us for clarification, especially at busy times.
Ideally, we advise placing orders before the October half term so that the calendars can be sold at Christmas fair’s etc during November and December but can accept orders up until the Final order deadline 1st December 2021.
Will we be sent a proof to check over?
You will be sent a digital sample copy to proof and check all dates and images are correct.
A physical proof is available, with an extended timescale, at a cost of £19 but this will be refunded from any subsequent orders. Once signed off and published any further alterations will be made at cost to yourselves.
What are the payment methods available?
Payment will be taken at time of ordering online. We accept:

How are the calendars delivered?
We offer free delivery to 1 x school addresses or a committee members’ home address. This is fully tracked, and details will be sent to our main school contact once despatched. Split deliveries may incur additional fees.
